What is scheduling in trades software?
Scheduling is the foundation of field service software. At minimum it shows a calendar view (day, week, month) where dispatchers assign jobs to technicians. Better implementations include drag-and-drop reassignment, real-time technician availability based on existing jobs and drive time, color-coding by job type or status, recurring job support for maintenance contracts, and mobile sync so technicians see schedule changes in real-time. The gap between 'has a calendar' and 'has dispatch-grade scheduling' is bigger than vendors admit.
Why scheduling matters
Without dedicated scheduling, trades businesses lose money in three ways: double-bookings (two technicians sent to one job, or one technician booked for two simultaneous jobs), under-utilization (technicians have gaps because dispatchers can't see real availability), and missed appointments (job request received but never put on the calendar). For a 5-technician shop, dispatch inefficiency typically costs 10-20% of potential revenue โ the equivalent of running one technician shorter than your roster. Scheduling software pays for itself within the first month for most shops by capturing previously-missed bookings alone.
How to evaluate scheduling when buying
Evaluate scheduling on three dimensions: speed (how fast can a dispatcher reassign a job mid-day?), visibility (can field technicians see their schedule on mobile in real-time?), and intelligence (does it surface conflicts before they happen?). Avoid platforms where scheduling is bolted on as an afterthought to invoicing โ the workflow asymmetry shows up daily. For shops doing 50+ jobs per week, dispatch optimization features (suggested job assignment based on technician location, skill, historical close rate) start paying off meaningfully.

Frequently asked questions
What's the difference between scheduling and dispatching?
Scheduling assigns a job to a technician at a time slot. Dispatching is the real-time act of telling that technician to go, often with route optimization, ETAs to customers, and reassignment when delays happen. Most modern FSM platforms combine both, but enterprise tools (ServiceTitan, BuildOps) treat dispatching as a deeper discipline with its own workflows.
Do I need scheduling software if I have a Google Calendar workflow?
Google Calendar works for solo operators with 5-10 jobs per week. Past that, you need software that handles multiple technicians, customer records, recurring jobs, and mobile sync simultaneously โ none of which Google Calendar does well. The transition usually happens around the 2-technician mark.
How do recurring jobs (weekly mowing, monthly maintenance) work in scheduling?
Most FSM platforms handle recurring jobs natively โ set a customer to weekly/bi-weekly/monthly cadence, and the platform auto-schedules future visits. Quality varies on rescheduling: when a recurring visit gets bumped, do future visits shift too? Better platforms (ServiceTitan, Aspire) handle this; weaker ones require manual intervention.
